Focused Checklists Software Is Not That Common
Recently, on this blog, we discussed the topic of paper checklists vs. digital checklists. In the dedicated blog post, we looked at why in one case you would want paper, and in another case why you would want a screen. Let’s dive deeper into the screen topic. We haven’t yet considered the checklists’ software on this blog, despite talking thoroughly about checklists in many articles.
Typically, checklist functionality is built into existing software, and rarely is it a main focus. We can see checklists built into personal productivity applications as well as project management tools. Even if you open the article titled “5 Best Online Checklist Apps of 2025” you’ll discover team management tools, but not checklist apps.
This confusion is worth fixing. It’s also necessary to mention that not every mentioned application refers to a checklist using the word “checklist”. The next important part of the application is the ability to “execute” your lists. In other words, you convert a list into a checklist and then check the boxes. Also, you can schedule future executions. There are two available in the free plan.

StepList also implements what can be called the social part. You can view the public lists of other users and even pin them to your dashboard for future use.

Another social option of StepList is delegation. You can assign tasks to other users of StepList and then monitor progress. Better said, you can assign others the execution of some checklists. The fun part is that in the current state of the app, you can assign your lists to any user.
There is a paid plan as well. It comes with unlimited list scheduling and delegation. Delegation is stated to be not allowed in the free plan; however, I managed to delegate a checklist.

The application seems to be in a development phase and doesn’t look like an established business yet.

Process.st
Process.st is much more than basic checklist software. Here is what is written on the website:

What do they do here across the checklist applications? Well, it’s all because their interface is built around the checklist. You can create pages with information and forms to gather data, and then work with it in the interface of Process.st. But all this is here to support the execution of the workflows—in other words, the processes. And they look very much like the checklists.

As there are already built-in products in Process.st, you can imagine how much text it would take to name all the features. So I will focus on either the most important or the most impressive capabilities.
Obviously, you can create a new workflow here. However, it is not something you do from scratch. Process.st seems so ready to manage complexity that the highlighted options are to create with the help of AI, to create based on some document that you provide, as well as from the 800 customizable templates.

The second creation option might seem like you need to use a specific format that will convert into standard operating procedures, but that's not the case. It is a proposal to upload a text document with a textual description of your process. AI will read it and convert it into a workflow. What a way to streamline workflows!
Next, Process.st is built with collaboration in mind. You can create organization within it as well as assign responsibilities during the process execution. For medium-sized or large-scale businesses. It’s a serious process and project management tool.
Dynalist
Dynalist is an outlining application. In their words:

The most beloved feature of the app described on the website is not a checklist, but infinite nesting. So why is this app here? Well, it still looks very much like a checklist in some cases. It is also designed to help you fight procrastination and track tasks.

Well, in Dynalist, the way you create tasks is as straightforward as writing some text. You then manage tasks the same way — by updating a list. It is possible to add checkboxes to any item or items on the list, but it isn’t even necessary. You can “check off” a list item as well.

What was a surprise for me is that you can not only introduce due dates but also create repetitive tasks. However, it’s a paid feature, and I couldn’t test it. Another paid feature is the connection with Google Calendar.
You might have noticed that this is not that checklists’ software. There are no central templates you can use to standardize processes. You don’t convert them into specific tasks to run the consequent execution. Yes, I agree with you here. However, the flexibility of the text gives you lots of opportunities, including the ability to build repetitive tasks simply by copying text.

Flexibility of text and infinite nesting. Many applications are available for Windows, MacOS, Linux, Android, iOS, and browsers.

CheckYourList
CheckYourList is an iOS application. It was created by Spencer Walden, and here is his motivation:

Dropping him at daycare and then going to the gym, required so many things. I felt overwhelmed and would take ages to leave the house. Maybe the most unexpected feature of CheckYourList is that you don’t need to register. Just download the app and start using it for personal task management. There is also an application for the Apple Watch and iPad. Synchronization is done via Apple’s infrastructure.

Features are quite straightforward. You can create custom checklists and group them. It’s possible to track progress from the main screen. Once the checklist is complete, there is a notification asking you to uncheck everything. This is how the recurring checklists are implemented here.

Interestingly, all discovered checklist-based applications are relatively new. Checklists steadily gain more attention as our lives become more complex. Checklists are the first instrument to handle this complexity, and I expect more applications to appear in the future.
